Section 2. Enrolment

This SEAP Guide includes information and advice for all students so all sections are relevant to postgraduates and international students. (See also 2.15, 2.16.)

2.1 Enrolment - New Students (commencing students)

Commencing students are required to enrol as specified in the enrolment instructions included with their offer.

The University will not consider you to be enrolled until you have:

  • accepted the offer of admission to a specified program according to the prescribed instructions;
  • submitted a completed HECS Payment Options Declaration if appropriate;
  • paid the General Services Fee (GSF);
  • registered enrolment and completed the required statistical information on the Web;
  • completed any other enrolment procedures required by the University.

Confirmation of Enrolment

When you have registered your enrolment you will be sent an invoice if you have registered to pay tuition fees or HECS upfront. The invoice will show your HECS/Fee liability and the due date for payment as well as details of your enrolment. If you do not have an outstanding balance you will not receive an invoice and should check your enrolment details on ISIS. HECS/PELS students who are deferring payment will not receive an invoice but may check their account details on ISIS. It is your responsibility to inform the University immediately of any discrepancy in the invoice or ISIS enrolment record and to maintain a current mailing address on ISIS at all times.

FFailure to correct inaccurate information may have serious financial, academic and/or administrative consequences for you.

FRetrospective changes will not normally be approved.

Year 12 Extension Program

Students in this category will be advised of the enrolment procedure in the offer pack.

2.2 Enrolment Continuing/Re-Enrolling Students

All students continuing their current program are required to register courses for 2003 on the ISIS website.

  • Currently enrolled students and students on approved program leave or approved cross-institutional study in Semester 2, 2002 must enrol on the Web by Friday 17 January 2003. (See also 11 and 10.7 for help.)

  • Students intending to study for the whole of 2003 must register courses for both semesters.
  • Semester 2 enrolment must be entered by 30 June to avoid late fees.
  • A late enrolment fee of $100 is payable before you can register re-enrolment after 17 January 2003.
  • Students applying to transfer to another ANU program in Second Semester 2003 or for 2004 should check Section 4 of this Guide.
  • Students seeking to retain a place in their program and take leave of absence for the whole of 2003 or Semester 1, 2003 should refer to 3.8 of this Guide.

FNote: Students granted special or supplementary examinations should re-enrol and pay GSF by 17 January 2003. Course choices may be amended later if necessary.

Students returning from program leave are only considered to be enrolled on completion of the following:

  • registration of courses via the Web;

  • payment of the General Services Fee (GSF).

FStudents who fail to re-enrol or who have no formal approval for a period of leave will lose their place in the program.

Undergraduate students who have lost their place in their program must apply for re-admission to the same program or a new program through the Universities Admission Centre by the due date in September in the year preceding the year in which they wish to resume studies at the University.

Postgraduate students should apply direct to the University by the appropriate closing date.<(See 2.16.)

Application for admission to a program will be considered in competition with all other applications on the basis of current admission criteria.

Semester 2 Only Enrolment

Students re-enrolling in Semester 2 courses only for 2003 should apply for program leave for Semester 1, 2003 and re-enrol on the Web by 30 June 2003. GSF for Semester 2 must be paid by 18 July 2003.

Planning your Program and Academic Advice

Faculties and Schools provide advisory sessions during the year for undergraduate students. You should take advantage of these sessions to ensure you are familiar with your program requirements. Times will be advertised in Faculty Offices.

For continuing postgraduate students there are no formal advisory sessions. However, if you need assistance or advice concerning your program plan or study for the next academic year you should contact the relevant Program Convenor. In many instances a Faculty/School administrator may be able to assist you without reference to a Subdean, Faculty Secretary or Convenor.

You are reminded that your enrolment and adherence to program requirements is your responsibility.

In particular, you are reminded that if you have permission from a Course Authority/lecturer to undertake courses outside the Rules, the approval from the Course/Program Authority/Prescribed Authority should be in writing. You will also need a permission code to add this course to your enrolment. (See 11.1.)

NITA Pre-enrolment

All NITA coursework students will be required to enrol early in courses for the next academic year in October of the preceding year. For further information contact NITA Student Services.

2.3 Faculty and Course Quotas

It may be necessary to limit enrolments in some courses, e.g. Geography, Biology, Psychology.

If you are seeking enrolment in courses with quota restrictions you may need a permission code to add these courses. Codes are available from your Faculty/Course Authority. (See 11.1 and 11.2.)

2.4 Confirmation of Enrolment

2.5 Late Enrolment

All re-enrolling students are required to register enrolment no later than 17 January 2003.

Late registration will need approval and can only be made after you have paid $100 late enrolment fee.

2.6 Enrolment in Intensive Postgraduate Courses

Some programs, mostly postgraduate, offer courses taught intensively during the non-standard Summer, Winter or Spring Sessions. Make sure you are enrolled by the start date of these sessions and have paid your GSF.

You may drop an intensive course from your enrolment via the Web (provided it is not your last enrolled course for the session) up to the Census Date of the course and apply to the Student Fees Office for any refund.

Withdrawal beyond Census Date will result in an effective dated withdrawal on your academic record and you will not be eligible for any refund of fees. You may not drop the course after the last day of teaching.

FCensus Date is the first day of teaching for courses of less than 6 weeks and day 14 for courses 6 weeks or longer.

Postgraduate students re-enrolling full-time in Summer Session (e.g. Master in Asian Studies students) should see their program administrator before 11 December to complete an Enrolment Variation form.

2.7 Enrolment in Intensive Undergraduate Courses

While undergraduates may receive approval to enrol in Summer Session, (see 2.8) all other courses (even if they are taught for short durations) are scheduled as Semester classes and so have standard Census Dates. Enrolment deadlines apply to these and no class can be added after the due date, even if teaching commences later in the semester.

2.8 Enrolment in Summer Session - Undergraduates

A limited number of undergraduate courses are offered in Summer Session, commencing in January.16 December. Current students apply to their Faculty using the Application for Summer Session Enrolment. As soon as your Summer Session courses are approved you will receive a letter giving details of the enrolment and fee payment procedures.17 January 2003 or a late fee of $100 will apply.

FDo not enrol in Summer Session on ISIS.

Students from outside ANU apply for Summer Session courses through the Admissions Office by 16 December. The GSF of $48.75 is payable at the commencement of the session.

For some Summer Session courses tuition fees are applicable - HECS does not apply. The Domestic and International Tuition Fees for each course are available on the Web at:

Fees for intensive courses may be payable at the commencement of teaching. For other courses in which you have enrolled, you will be sent an invoice showing fees due and payment date. You should consult your Faculty for details of the fee type, teaching dates and payment details for Summer Session courses.

Written notice of withdrawal from Summer Session courses must be received by the University by the Census Date of the course. Census Date is the first day of teaching for courses less than 6 weeks long and day 14 for courses 6 weeks or longer. Withdrawal beyond this date will result in an effective dated withdrawal on your academic record and you will not be eligible for any refund of fees. You may not withdraw after the last day of teaching for the course.

2.9 Continuing your Program after an Approved Period of Absence

If you are returning to your program after an approved period of leave you should re-enrol via the Web by 17 January 2003.

2.10 Enrolment in Non-Award Programs

Non-award students are those granted permission to enrol in courses from an award program without enrolling in the program itself. Tuition fees are levied on non-award courses except where they are to be counted towards the award requirements of a HECS-liable undergraduate program at another institution (cross-institutional enrolment) or where the student is undertaking a recognised University Exchange Program with an overseas institution.

FNote: All postgraduate coursework students from other institutions enrolled at ANU on a non-award basis will be charged tuition fees.

FUndergraduate students from other institutions enrolled in courses at ANU during the Summer Session of 2003 may be tuition fee liable, not HECS-liable.

Application Procedure

Continuing non-award students should re-apply for 2003 by lodging an Application for Non-Award Admission form with Student and Academic Services by 17 January 2003.

If applicable, you must lodge a supporting letter from the Registrar of your home institution advising that the courses in which you wish to enrol for 2003 have been approved for inclusion in the program at your home institution. The letter must also state if you are enrolled in a HECS-liable program on differential or standard HECS rates. If your letter of authority is delayed, you should submit your application by the due date but your enrolment will be processed as a fee-paying student without the letter of authority from your home institution.

2.11 Studying away from ANU

Cross-institutional Enrolment

If you are not enrolling at the University in 2003 but are seeking permission to undertake studies at another Australian tertiary institution to count towards your program you must seek written permission from the respective Program/Prescribed Authority. You do not need to register enrolment for 2003. However, you must complete an Application to Study Elsewhere on a Cross-Institutional Basis form and ensure the University has a current mailing address to receive relevant University correspondence during your period of absence.

If the courses you are studying elsewhere will complete program requirements, you should indicate this to the Program/Prescribed Authority at the time you lodge your form.

If you are continuing your studies at the University in 2003 and wish to undertake concurrent studies towards your program at another institution, you must seek written permission from the respective Program/Prescribed Authority. A copy of the Program/Prescribed Authority's written approval to undertake the concurrent studies must be completed on the Application to Study Elsewhere on a Cross-Institutional Basis form and be submitted to your Faculty Office advising you have registered your 2003 enrolment via the Web. You must also ensure that you have completed the formal application/enrolment requirements of the institution where you will be studying. Approval by an academic department alone does not usually constitute enrolment.

ANU Exchange/Study Abroad Students

ANU students on formal exchange programs at overseas institutions must:

  • complete an ANU Pre-Departure Checklist for Exchange Students form;
  • complete a re-enrolment form and pay the GSF before departure; and
  • contact the respective Faculty/School Office and the International Relations Officer, in the International Education Office, well before the departure date to ensure all administrative details/procedures have been completed (see guide prepared by the International Education Office);
  • ensure they re-enrol for 2004 on the approved form and pay GSF by the due date.

In some instances students will be required to pay GSF for 2003. Check with your Faculty/School Office or Student and Academic Services for details.

ANU exchange students should also seek formal approval for their overseas studies from the respective Program Authority before departure.

Year-in-Asia Students

Students participating in this program must complete a Pre-Departure Checklist for Year-in-Asia Students form and ensure all re-enrolment procedures are completed before departure in accordance with the instructions in Section 2.2 of this Guide.

If you are studying in Japan, Indonesia, Korea or Thailand, you will need to:

  • pay your GSF;
  • enrol in the correct courses;
  • arrange for your HECS to be paid by the due date if you are an Upfront payer;
  • arrange for re-enrolment, GSF and HECS payment by the due dates for 2004; and
  • update your mailing address.

Please note, invoices sent to an overseas address may be delayed. Payment must reach the Student Fees Office by the due date to avoid financial penalties. Check your account details regularly on ISIS to ensure you meet your fee obligations by the due date.

2.12 Students Studying Spanish

Students studying Spanish are enrolled as Cross-Institutional students at the University of Canberra and GSF arrangements for concurrent enrolment at two institutions will apply. See 5.1. Applications for refund of half the GSF must be made by 31 March.

2.13 Fourth Year Honours Students

All continuing ANU students undertaking an Honours year must register their re-enrolment on the Web by 17 January 2003. Permission codes will be needed from Faculty of Departmental Administrators (see 11.1). If you are commencing your Honours year in July, you must re-enrol for Semester 1 of the following year after October 2003 to complete your program.

Students must also discuss prospective enrolment in Honours with the relevant department before 29 November.

Students in the Faculties of Science, Arts and Economics and Commerce proceeding to Honours may (if they wish) have the pass degree conferred.

Students in the Faculty of Asian Studies may not have the pass degree conferred if continuing to an Honours year.

Students in the Faculties of Arts, Science and Economics and Commerce wishing to have the pass degree conferred must complete an Application for Conferring of Award and submit it to Student and Academic Services by the following dates:

  • 6 January for May Conferring Ceremonies
  • 29 August for December Conferring Ceremonies

2.14 Not Continuing your ANU Program

Students who do not intend to continue their current study should advise the University, in writing, before the start of the academic year.

2.15 International Students

International Students are those who are not Australian or New Zealand citizens, or do not have Australian permanent residency status. This SEAP Guide is for all students and therefore all sections have information relevant for international students. This Section includes information and cross-references that are very important for you as an international student. (See also 5.2.)

Admission to Another Program at ANU

If you wish to transfer to another ANU program, or to commence a new program when you complete your present one, you must contact the International Education Office for an application form. You should complete this application well before the end of your present study because you may need to extend your visa.

Maintaining Full-Time Enrolment

If your enrolment is less than 18 units you are not a full-time student. For international students, it is a condition of your student visa that you remain enrolled as a full-time student and the University must advise Department of Immigration and Multicultural and Indigenous Affairs (DIMIA) of any student who changes their enrolment and does not meet this condition without special permission.

FIf there is a reason why you cannot maintain full-time enrolment you must contact the International Education Office to seek permission.

Visa

New students or students changing programs must show a valid student visa at time of enrolment.

Sponsorship

If your fees are to be paid by a sponsor and you did not complete a Notification of Sponsorship when you accepted your offer or changed your program, you need to get a form from Student and Academic Services and return the completed form by 31 January 2003 (see 5.5) or you will be personally liable for your tuition fees.

Academic Performance

For international students, failure to maintain satisfactory academic progress may affect their ability to meet visa or sponsorship conditions. If you are having study difficulties you should discuss this with the IEO Coordinator Student Services as soon as possible so that you can receive appropriate assistance.

Discontinuing your Study

Leave or withdrawal from your program will affect the validity of your student visa so you must inform the Department of Immigration and Multicultural and Indigenous Affairs (DIMIA).

If you are not continuing your study next semester but intend to complete the program at a later date, you must apply for program leave (see 3.8).

If you are withdrawing from your program permanently you must advise Student and Academic Services in writing before the beginning of the next academic session (see 3.7).

FIt is important that you make sure your Mailing and Home (local) Address is correct at all times. This is a condition of your student visa as well as enabling the University to contact you.

2.16 Postgraduate Coursework Students

Admission

Postgraduate coursework applicants, including current students applying for a new program next semester, must complete a Postgraduate Coursework Application form and lodge it with the Admissions Office by 17 December for Semester 1 admission or 30 June for Semester 2 admission.

Applications for NITA postgraduate coursework programs should check initially with NITA Student Services for information.

Program Leave of Absence

Applications for leave from your program must be lodged before the commencement of the Semester in which it is to take effect. Program leave will count as part of the maximum time to complete your course.

Transferring to a New Program

FProgram transfers cannot be processed via the Web (ISIS).

Postgraduate students in articulated/roll-over programs (e.g. GradDipArts to MA or GradDipLaws to LLM) must complete the appropriate Application for Postgraduate Program Transfer form and lodge it with the Prescribed Authority by 6 January 2003. Contact your Program Administrator to check if you are in a roll-over program.

FStudents who are participating in the PELS scheme must complete a new PELS form each time a program is changed.

Thesis

Postgraduate Coursework students who are completing their sub-thesis component need to stay enrolled in each semester. Contact your Faculty Administrator for the course code if you are unsure.
